The booking process

Our quotation is valid for 28 days and, with current increasing fuels costs, may be subject only to fuel surcharge. In line with private hire guidelines, payment is required in advance to secure the booking(s) via bank transfer or credit/debit card. Account holders may pay monthly by invoice. Our bank details are; Account Name; Your Personal Chauffeur Ltd. Nat West. Sort code 52-30-42. Account 38110695.

Once a verbal confirmation has been received, we will supply a sales invoice via email confirming all the transfer details. The booking is ONLY confirmed on receipt of payment. We ask you then to acknowledge that booking confirmation, stating that all the details are correct AND that you have familiarised yourself, and agree, to out T&C’. If a response is not received, we cannot be held liable for any errors or missing information. We cannot be held liable in the event of Emails not being delivered or received due to spam, junk or virus filters or other technical factors outside of our control.

Variations to any journey, including extensions in travel time or miles (calculated at GBP30 per hour and 50p per mile) or any additional costs, that were not included at the time of booking, may be charged accordingly. If any changes, are made during your transfer, we will try to accommodate your request but we cannot guarantee to be able to fulfil them, based on our booking commitments at that time.

Cancellation. If less than 72 hours notice from your booking date & time, we reserve the right to retain 25% of the original booking fee. If less than 24 hours notice is provided we reserve the right to retain up to 100% of the booking fee. Refunds will be paid via the same means that payment was made to us. We can provide written details for your holiday insurance supplier.

Your Responsibilities. Although we make our best efforts to load your possessions appropriately, customers property is carried at their own risk and we, or our insurers shall not be liable for any loss or damage to such property whilst in transit. Our insurers will not cover damage or injury caused by passenger negligence, such as not wearing a seat belt or opening doors before the vehicle has come to a complete stop and/or not checking any relevant blind spot. On occasions, our child locks may be activated and your driver will open your door to optimise safety however you can request that they are removed before your journey commences.

We will not carry more passengers than the vehicle is licensed for.

Soiling. In the event of sickness, spillages or soiling of the vehicle, the cost of an appropriate valet and loss of income will be a minimum of GBP200.00 with no maximum and must be paid immediately to the driver where possible via cash or credit/debit card or to the office via credit/debit card.

We do not tolerate any abuse and reserve the right to terminate your journey if any passenger becomes abusive or displays inappropriate or impaired behaviour. It is at the drivers discretion whether or not to stop the vehicle and leave passengers in a safe place where alternative transport can be organised.

Child seats

We cannot provide or assist in the fitting of child seats or restraints. They are not a legal obligation when hiring a private hire vehicle, however it is the adult passenger / parent / guardian (s) entire responsibility to make sure that any children in their care are either properly secured in the appropriate seat/restraint using the ISO-Fix anchor points provided, or otherwise accept all responsibility of outcome, in the event of an incident. We are able to store customer car seats free of charge whilst you are away if you have booked a return journey.

Delays

We aim to get you to your required location on time, every time and always allow contingency time. You may request your own time to suit. We cannot be held responsible for unforeseen delays that are out of our control. In the unlikely event of a breakdown, onward travel will be organised as quickly as possible.

We except no financial responsibility for missing flights, boats, trains or appointments, due to unforeseen circumstances, regardless of their value.

Complaints

At Executive Private Hire, we aim to provide exceptional levels of service on every journey; however if you feel you have cause for complaint, please share your concerns via E-mail, and we will investigate and if necessary, and resolve any issues in the fairest way possible.

Privacy Policy

The data controller is Your Personal Chauffeur Ltd (YPC Ltd), a taxi operation business based in Chilton Polden near Bridgwater, Somerset.

YPC takes your privacy very seriously, and we seek to ensure that we comply with the Data Protection Act 1998 and General Data Protection Regulation EU 2016/679 at all times when collecting your personal information. This privacy notice sets out how we will process the limited personal data we collect from or about you, or which you provide to us. We may change the privacy notice from time to time by amending this page.

Your Privacy

YPC is committed to protecting your privacy when you use our services. The privacy notice below explains how we use information about you and how we protect your privacy.

Personal information

Personal information can be anything that identifies and relates to a living person. This can include information that, when put together with other information, can then identify a person. For example, this could be your name and contact details.

We may need to use some information about you to: inform you about our latest news and offers or to survey you about what we offer.

There are a number of legal reasons why we can collect and use your personal information. Generally we only collect and use personal information where: you have given consent; you have entered into a contract with us; it is necessary to inform you of important information (such as a booking you’ve made with us); it is required by law; or you have made your information publicly available.

We only use what we need. In most cases we’ll only collect and use personal information where you have offered it to us and told us that you’re happy for us to use it in the future. If we don’t need personal information we’ll either keep you anonymous if we already have it for something else or we won’t ask you for it. For example in a survey we may not need your contact details, so we’ll only collect your survey responses. If we use your personal information for research and analysis, we’ll always keep you anonymous or use a different name unless you’ve agreed that your personal information can be used for that research. We don’t sell your personal information to anyone else. 

The information you share with us won’t be shared with third parties without seeking consent from you beforehand.

We do not make your personal details available to third parties for marketing purposes without your explicit consent. YPC will only send you marketing emails and contact you for promotional purposes if you have signed up to a mailing list or otherwise asked to be kept informed. If you wish to have your name removed from a mailing list or have any questions please contact us.

The law gives you a number of rights to control what personal information is used by us and how it is used by us. You can ask for access to the information we hold on you, and update it if it is out of date or you want it removed altogether You have the right to ask for all the information we have about you. When we receive a request from you in writing, we must give you access to everything we’ve recorded about you. You should let us know if the information we hold for you is wrong or if you would like it removed. If you’d like to see what information we have about you, or if you want it updated or removed please contact us.

We’ll do what we can to make sure we hold records about you (on paper and electronically) in a secure way, and we’ll only make them available to those who have a right to see them.

The majority of personal information is stored on our systems in the UK. But there are some occasions where your information may leave the UK such as if it’s stored in a system outside of the EU.

Our chosen project through Carbon Footprint is their Global Portfolio VCS certified carbon reduction programme. Carbon Footprint also run a rang eo fprojects across the world that include carbon avoidance, clean and renewable energy generation. Many are within developing countries, where they also provide additional social benefits.
